Could you please explain in a quick and easy way how your services work?
U.S. Imaging takes your paper files and transfers them to
CD. We can fit up to
20-25,000 single sheets of your paper files on a single CD.
We take your paper files and remove paper clips and staples to get them ready
for high-speed scanning. Your information carries the same naming or indexing
procedure you
currently use for filing all your paper documents.
We use high-speed scanners to make a mirror image of your paper files, convert
them to PDF documents and then transfer your information to CD. OCR is available
for businesses such as lawyers that want to do detailed word searches of
documents. TIFF is available to businesses such as architects that want to save
on paper files, but still be able to work on drawings in their CAD software.
We verify the accuracy and quality of your document conversion.
We provide you with two copies of your information on CD. Your files are
organized and searchable.
U.S. Imaging holds your paper files for 60 days and then has your files securely
shredded.
The files in my office are indexed a certain way. Will my workers have to learn
a completely new system if we have our files scanned?
No. All your CDs created by U.S. Imaging are customized
with an index naming system just like the one currently in place in your office.
There is nothing new to learn. You can choose up to 60 characters in your naming
configuration. Some samples of index fields include: Name; Year; File Number;
File Type (Escrow, Title, etc.); Property Address; Closing Date; Loan Number;
Social Security Number; City; County; Date By Year Only; Agent/Broker.
Will our computers be able to run your program if we have our paper files
scanned?
The discs created for your business by U.S. Imaging will
run on any computer featuring a Windows platform. All your data is converted to a
PDF format, which makes it impossible for anyone to add or delete any of your
valuable information.
What happens with my paper files
when U.S. Imaging
is done scanning them and storing the data on CD?
U.S. Imaging will hold your paper files for 60 days. After
that period we will handle the secure destruction of your documents by having
them shredded. The shredding of your documents is included in your price.
I'm not sure if I really want to have my paper files scanned because I don't
know what they will look like. Is there a way for my business to sample your
services? Can I receive an estimate of how much it's going to cost?
Yes and yes! U.S. Imaging will prepare a personalized
demonstration disc at no charge for your business using your company’s data. We
ask that you provide us 5 sample files of the type of documents you wish to have
scanned. When we prepare your free demonstration disc we will also prepare a
pricing proposal for you based on your files to enable you to make a decision.
How many CD copies do we receive
with our files?
U.S. Imaging will provide you with two CD copies of your
information. In addition, U.S. Imaging keeps an additional copy of your
information in a secure location. We keep an archived copy of your information
for back-up purposes only. If your business suffers a catastrophe such as a
fire, theft or weather related incident and you lose all your information, you
simply call U.S. Imaging and we provide you with new CDs. Your business is back
up and running in no time.
I have several workers in my office
that need access to our business files. Is there a way for more than one person
to access the information on the CD at the same time?
Yes. U.S. Imaging will provide you with free software that
can be placed on your network server that will enable additional workers to
access your information. Your CDs can be read on a CD-ROM drive, saved to a
desktop or hosted on a network.
My paper files are a mess. Do I
have to get everything in order before I give them to U.S. Imaging to be
scanned?
No. There’s no need for you to prepare your information.
You simply give us your information and we will process it by removing staples
and paper clips to get it ready for our high-speed scanners. We scan everything
on your documents including any sticky notes or notes in front of file jackets.
I'm concerned about the privacy of my information. What safeguards are in place
to keep my information private?
U.S. Imaging will provide your business with
confidentiality agreements as well as HIPPA privacy agreements to ensure the
privacy of your data.
